Are you a detail-oriented professional with a knack for financial documentation and a passion for service excellence? We are seeking a highly organized Administrative Clerk to join a premier automotive services team in the GAP Claims Support department. In this critical role, you will be the engine behind the claims process, ensuring that every "Total Loss" file is documented, audited, and ready for settlement.
Your Role & Responsibilities
- Case Intake & Coordination: Manage the high-volume intake of new GAP claims. You will be responsible for gathering the "Big Three" documents: the Primary Insurance Settlement, the Valuation Report (NADA/KBB), and the original Finance Contract.
- Documentation Specialist: Proactively contact insurance carriers (State Farm, GEICO, Progressive) and financial lenders to retrieve missing information and verify settlement checks.
- Financial Auditing: Review loan payment histories and ledgers to identify non-covered items—such as late fees, deferred payments, or refundable service contracts—that must be reconciled before the "gap" is calculated.
- Data Integrity: Maintain 100% accuracy while entering claim details into internal databases and legacy systems. You will manage a pending queue of files, ensuring no claim sits idle.
- Professional Liaison: Act as a brand ambassador, providing clear and empathetic updates to dealerships and contract holders regarding their claim status.
What You Bring to the Table
- The "Investigative" Eye: You don’t just enter data; you spot discrepancies in VINs, dates, and dollar amounts across multiple complex documents.
- Technical Proficiency: strong 10-key skills and intermediate Excel experience are required. Experience with insurance terminology or automotive finance is a major plus.
- Communication Skills: A polished, professional phone presence and the ability to draft clear "Letters of Requirement" for missing documentation.
- Resilience: The ability to thrive in a fast-paced, high-volume environment while maintaining a "Customer First" attitude.

Responsibilities
Claims Department by managing the high-volume administrative workflow of GAP (Guaranteed Asset Protection) claims. You will act as the primary "intake" specialist, ensuring all financial and insurance documentation is present for Adjusters to finalize settlements.
Key Responsibilities:
Document Procurement: Proactively reach out to insurance carriers and lenders to collect Total Loss Valuations, Police Reports, and Settlement Checks.
File Auditing: Review incoming claim "packets" for completeness. Verify that the VIN, contract dates, and names match across the Finance Contract and Insurance Settlement.
Financial Data Entry: Input payoff balances and payment histories into the claims database (AS400/Internal Systems) with 100% accuracy.
Queue Management: Maintain a high-volume pending queue, updating notes daily to reflect the current status of the claim.
Communication: Serve as a professional liaison between JM Family, dealerships, and contract holders regarding missing information.
Required Skills:
